The nine tiles that gather on the top face name what we automate: missed calls, website chat, email follow-up, review requests, appointment reminders, quote follow-up, photos to posts, and custom work, around the Squared Away mark.

01 / THE PROBLEM

Every job leaves loose ends.

02 / WHAT GETS DROPPED

Missed calls. Quotes never sent. Reviews never asked for.

03 / WHAT WE DO

We build the part that catches them.

Squared away.

We build the systems that catch what you drop, so nothing sits waiting on you.

04 / THE PREMISE

The work is never the problem. It’s the twenty small things around the work that never get done, because you’re busy doing the work.

05 / WHAT PILES UP

Four things every business drops.

None of them are hard. None of them are the work. That is exactly why they pile up.

The six o’clock call.

It rings while you’re with a customer. They call the next name on the list.

The quote that never went out.

You said you’d send it Tuesday. It’s Friday.

The review nobody asked for.

Your best customer would have left one. Nobody asked.

The follow-up you meant to do.

The job was quoted, then it went quiet, and quiet reads as no.

06 / WHAT WE BUILD

Eight things that should happen every time. Now they do.

Calls, enquiries, quotes, appointments, reviews, posts. The eight around the outside run from day one, embedded in your website rather than bolted on beside it. No website yet? That is what we build first, because the site is where this work actually lives. You do not need one already. You need a business that does the same things over and over, and every business does.

Calls answered.

An AI receptionist that picks up when you can’t, takes the details, and puts the job in the book.

Chat on your site.

It answers the same five questions all day, and hands over the ones it should not guess at.

Follow-up that happens.

The job goes quiet, so it follows up for you, in your words, on a schedule.

Reviews asked for.

Every finished job gets the ask, one tap, straight through to your Google page.

And your business in the middle.

The eight around it come with every build. The middle one is only ever yours.

Quotes out the door.

The estimate gets written up and sent while the job is still fresh in your head.

Nobody forgets the visit.

The reminder goes out before the appointment, so you stop losing the slot.

No enquiry sits waiting.

Someone fills in your form and gets a real answer in seconds, not tomorrow.

Photos become posts.

You send a photo from the van. It goes up written, tagged and on the right page.

07 / THE PART THAT IS ONLY YOURS

Most businesses are not missing an app. They are running too many.

Six logins, the same customer typed into three of them, and a spreadsheet holding the gaps together. The eight above catch what every business drops. What they cannot know is how your business actually runs, and that is different in every trade. So we spend half a day watching the work, find where the time is really going, and come back with a recommendation. It is always one of two routes, and neither of them starts with you learning new software.

ROUTE ONE

One place that holds all of it.

Where the tools are costing more than they carry, we build a single system around the way you already work. Customers, jobs, quotes, schedule and history in one place. One place to look, one place to type, and one version that is actually up to date.

ROUTE TWO

Or we make what you have talk.

Where the tools are fine and the joins are the problem, everything stays exactly where it is and we connect it. A booking becomes a job, an invoice and a reminder on its own. Nothing synced by hand, nothing typed into a second place, and you keep the software you already know.

Which one we recommend depends on what we see, not on what we would rather build. Sometimes the honest answer is that what you have is doing its job and should be left alone.

Systems that don’t talk, made to talk.

Your booking, your invoicing and your job sheets, joined up so nothing gets typed twice.

Booking that writes into what you already use.

Your calendar, your CRM, your job board. We fit the system you have rather than selling you another one.

Quotes and documents, read for you.

Supplier PDFs, spec sheets and forms, pulled apart into the numbers you actually need.

An assistant that knows your business.

Trained on your own pricing, your own materials and your own past jobs, so the answers are yours.

And the thing nobody has built for your trade yet.

Most of our work starts as a sentence beginning “I wish it would just...”

08 / IT RUNNING

A Tuesday, with nothing dropped.

We don’t promise to bring you more work. We make sure the work already coming at you gets caught: the call, the enquiry, the quote, the appointment, the review, and the one thing only your business runs. The work you already have stops leaking away, and the hours you spend chasing it come back to you, to put into the work you actually want.

  • A call at six in the evening: answered, and the job put in the book.
  • Someone asking a question on the site: answered, details taken.
  • A quote that has gone three days quiet: followed up.
  • A job signed off: the review asked for.
  • The one thing only your business runs: built for you.
  • An estimate owed: sent while the job is still fresh.
  • An appointment at eight tomorrow: reminded, so it is not a no-show.
  • A form filled in: a real answer back in seconds.
  • A photo from the van: written up and posted.

09 / HOW IT WORKS

It starts with half a day of listening.

01

We watch how the work actually flows.

Half a day, mostly listening. No slides.

02

We tell you what to consolidate and what to connect.

In writing, in plain words, before anything gets built. Sometimes the answer is to leave a thing alone.

03

We build the piece that’s dropping things.

One thing first, not a platform. It has to earn the second one.

04

It runs. We keep it running.

And you get told what it caught, so you can see it working.

10 / FAIR QUESTIONS

Things you’ll want to know.

Do I have to replace the software I already use?

No, and that is the whole point of the two routes. If what you have works, we connect it and leave it exactly where it is. We only suggest replacing something when keeping it is costing you more time than moving would, and we tell you which of the two we think it is before anything gets built.

I don’t have a website. Is that a problem?

It is the reason one gets built, not a reason to turn you away. The site is where this work actually lives, so it comes first and the rest goes inside it. What matters is whether your business does the same things over and over, and every business does.

Who changes the website once it’s live?

We do. New prices, a service you have stopped offering, fresh photos, a seasonal offer: you send it and it gets changed. Small changes are part of the ongoing plan rather than a quote every time, and once a month we come to you with something worth updating instead of waiting to be asked.

You should never be sitting on a wrong phone number because changing it means booking a developer.

What happens when I take on someone new?

Nothing that needs us. Everything of yours lives in your own accounts, so you add a person the way you already add anyone else.

It usually cuts the other way too. Where we have consolidated things into one system, a new starter learns one place instead of six, and the things that used to live only in your head are written down where they can look them up.

How much of my time does this take?

Half a day at the start, and that is the bulk of it. It is deliberately spent watching you work rather than sitting in a meeting, because what we need is the things you do without thinking about them. After that we are mostly asking you to check things rather than build them.

My business doesn’t work like anyone else’s.

That is the normal answer, and it is why the half day comes first rather than a questionnaire. The eight standard pieces are the same in every build, because catching a missed enquiry does not vary by trade. Everything after that is built from what we actually watched you do.

Will my customers know they’re talking to AI?

Yes. Whether it is answering the phone or answering on your site, it says so up front. We would rather it be plain about what it is than have somebody work it out halfway through.

What happens when it gets something wrong?

It hands over. Anything it is not sure about arrives with you as a message with the whole conversation attached, so you are picking up a job rather than starting one. Nothing quietly guesses on your behalf and hopes.

I tried an answering service and it was worse than voicemail.

Most of them take a message. This one answers the question, because it is built on your prices, your hours and your work. When it cannot answer, it says so and gets the details to you in writing.

I don’t want to be locked into anything.

Your domain, your data and your Google profile stay in your own accounts, never ours. If you walk away there is nothing of yours for us to hold onto.
